Job Summary

 The Contractor shall monitor written, verbal, and electronic correspondence and inquiries directed to DCoE.  The Contractor shall draft responses to taskers, and obtain Government concurrence to ensure timely closeout.  The Contractor shall prepare and edit technical or general documentation using various software packages such as Microsoft Word, PowerPoint, Excel, SharePoint, Adobe Acrobat (specifically Adobe Connect) and Windows.  The Contractor shall provide for the transcription of documents, data entry, and preparing and editing management support documentation such as PERT or GANTT charts in hard copy or using software such as Microsoft Project or Primavera.

Responsibilities & Duties

  • Visitor access control.
  • Answer incoming telephone calls.
  • Maintains the Chief of BOD’s calendar, and ensure all events are posted in a timely manner.
  • Maintains a calendar of appointments, and schedules appointments and conferences for the Directorate based on knowledge of supervisor's and staff schedules and previous commitments.
  • Assist Directorate staff in preparation for conferences and meetings to include preparation of briefing materials.
  • Maintain and Update Directorate databases and spreadsheets as needed.
  • Order and receive office supplies and equipment; follow up in a timely manner on outstanding requests.
  • Care of programmatic and administrative documentation and references.
  • Coordinate and prepare travel requests, ticketing, and claims data.
  • Operate reproduction equipment to produce large volumes of documents.
  • Schedule maintenance for equipment.
  • Ensuring approved security practices are applied relative to personnel and document control, scheduling, meetings or conference room facilities. 
  • Maintain Electronic and Paper files.
  • Maintain a training calendar, and report training status on BOD staff; keep training certificate documentation on file.
  • Maintain a suspense log (track taskers, training completion, etc.).
  • Maintain and track internal and external taskings in the Correspondence and Task Management System (CATMS).
  • Attend meetings and prepare meeting minutes.
  • Ensure coverage of duties and responsibilities when absence is more than two weeks.  


  • The candidate shall be able research and review data and documents, and provide objective assessments of options, issues, and positions for a variety of program planning, reporting, and execution activities.
